Privacy policy
This page explains what personal data KOI Systems collects through koisys.com, why, and what you can do about it. It is written to be read, not to cover us. Last updated 19 September 2026.
Who is responsible
The data controller is KOI Systems, NIF 515 385 425, Lisbon, Portugal. You can reach us at [email protected] or (+351) 961 425 529. RateIntel, t6m and PongDistrict are separate products with their own privacy notices; this page covers only this website.
What we collect and why
This website has no accounts, no forms and no newsletter. The only personal data we receive through it is what you send us yourself when you email or call: your name, your contact details and whatever you write about your project. We use it to answer you and, if we go on to work together, to run that engagement. The legal basis is the steps you ask us to take before a contract (Article 6(1)(b) GDPR) and, for keeping records of past enquiries, our legitimate interest in running the business (Article 6(1)(f)).
Our hosting provider records standard server logs (IP address, browser, pages requested, time) to keep the site running and secure. Those logs are kept for 30 days and are not used to profile you.
Cookies and analytics
This site sets no cookies and uses no analytics. There is nothing to consent to and no banner to dismiss.
The typeface is loaded from Google Fonts, which means your browser requests the font files from Google's servers and Google sees your IP address in that request. If you would rather it didn't, tell us and we will self-host the fonts.
Who sees it
Only KOI Systems staff who need to answer you. We use Google Workspace to run our mail, and Cloudflare and Amazon Web Services to host and serve this site; all three act on our instructions under their data-processing terms. We do not sell personal data and we do not share it with anyone else unless the law requires it.
How long we keep it
Enquiries that do not lead to work are deleted after 12 months. Records of engagements are kept for as long as Portuguese tax and contract law require, which is generally ten years for invoicing records.
Your rights
You can ask us what we hold about you, ask for it to be corrected or deleted, ask us to stop using it, or ask for a copy in a portable format. Email [email protected] and we will answer within a month. If you are unhappy with how we handled it, you can complain to the Portuguese supervisory authority, the Comissão Nacional de Proteção de Dados (cnpd.pt), or to the authority in the EU country where you live.
Changes
If we change how this site handles personal data we will update this page and the date at the top. We will not weaken your rights without saying so plainly here.
